INSURED/POLICYHOLDER INFORMATION NOTICE ON THE PROTECTION OF YOUR PERSONAL DATA IN ACCORDANCE WITH THE PROCEDURES AND PRINCIPLES OF THE PERSONAL DATA PROTECTION LAW NO. 6698 (“KVKK”)
As Kale Sigorta Aracılık Hizmetleri A.Ş. (“Company”), established in Türkiye, in our capacity as the data controller, we hereby inform you that your personal data obtained by us through the methods specified below, as applicable, will be recorded, stored, preserved, reorganized, shared with institutions authorized by law to request such personal data, and processed in other ways set forth under the KVKK, including transfer, assignment, classification, and disclosure to third parties within Türkiye under the conditions prescribed by the KVKK, provided that such processing is carried out within the scope of our legal relationships, for the purposes requiring such processing, in a manner that is relevant, limited, and proportionate to those purposes, while preserving the accuracy and most up-to-date status of the personal data as notified to us or as otherwise communicated.

The personal data that you may share with us or that may be subject to processing, where necessary, by us are as follows:
FOR WHAT PURPOSES ARE PERSONAL DATA PROCESSED?
As a company, in order to fulfil our legal obligations, perform the service contract between us, comply with reasons stipulated in applicable laws, and based on the legitimate interests of the Company, we collect your personal data that we request from you through your verbal, physical, or electronic submission to us. For the performance of the service contract between us, we may collect your personal data from insurance companies in electronic form or through verbal and physical channels. Based on the Company’s legitimate interest, we collect your voice recordings via the voice recording system we use.
PURPOSES OF PROCESSING YOUR PERSONAL DATA
Your personal data may be processed by the Company for the purposes and legal grounds set out below, including but not limited to these purposes and reasons.
In order to carry out the insurance service relationship to be established with you, in particular;
- Obtaining price quotations specific to each policy and situation from insurance companies and preparing offers.
- The issuance of your insurance policies and the transmission of the necessary documents to insurance companies within this scope.
- Providing information and support regarding your policies and updating your existing data
- Delivery of your policies to you
- Renewal of expired policies
- Endorsement transactions (policy amendments) being carried out
- Determination of the claim status of insured persons who have motor own damage (comprehensive) insurance.
- Notifying end consumers with outstanding policy premium payments about due amounts via SMS, phone, or e-mail.
- Bringing you together with companies providing assistance services to insurance companies in order to enable you to receive support services
- Tracking of risk-related documents
- Execution of collection (payment) transactions
- Fulfilment of refund requests
- Processing of campaign and discount payments
In order to better fulfil the services we provide to you, to improve ourselves, and to carry out marketing and research activities;
- Complaint management being carried out
- Conducting queries with the Insurance Information and Monitoring Center (SBM)
- Calculating end consumers’ product purchasing tendencies
- Monitoring whether you are satisfied with our services
- If you give your consent, providing mass e-mail, phone, and SMS services for the purpose of introducing our other products to you
- Organizing campaigns that you may benefit from
For the purpose of the Company’s management, business operations, and implementation of Company policies, in particular;
- Quality control within the company
- Archiving of issued policies and their entry into the systems/software used
- Conducting reception and front desk operations
- Reviewing voice recordings for the purpose of improving the quality of services provided to customers
- Conducting market research in order to provide you with the most suitable price
It may be processed in order to exercise our right of defence or to fulfil our legal obligations if duly requested within a legal process. Your personal data will be retained for the maximum period specified in the relevant legislation or required for the purpose for which they are processed, and in any case for the statutory limitation periods.
SHARING YOUR PERSONAL DATA WITH THIRD PARTIES WITHIN THE COUNTRY
Your personal data is primarily transferred to insurance companies in order to enable us to provide services to you as required by the nature of our business. In addition, your personal data may, from time to time, be transferred to specialized companies for the performance of certain activities or to the servers of the applications we use. For example;
- We may transfer your data to courier companies in order to deliver your policies to you.
- If you are included in our SMS mailing list or mass e-mail list, your data may be transferred to companies that provide mass SMS or mass e-mail services, solely to the extent necessary for carrying out this activity.
- In cases where we require technical support, the consulting companies and switchboard/telephony service providers from which we receive support may occasionally need access to our systems; accordingly, your data within the relevant systems may be accessible to such companies. However, we take the necessary measures to ensure that these companies do not use your personal data.
- From time to time, and subject to your consent, your data may be transferred to companies we cooperate with for campaign purposes.
- Your data may also be transferred to banks for the execution of collections.
- Upon your request, the necessary portion of your data may be transferred to companies providing assistance services to insurance companies.
- Your data may be shared with insurance companies for the purpose of providing our services.
- In order to exercise our right of defence, we may share your data with our lawyers and, provided that it complies with legal and procedural requirements, with relevant authorities within the scope of our obligation to fulfil legal requests such as court orders or requests for evidence.
YOUR RIGHTS
Pursuant to Article 11 of the KVKK, provided that you personally prove your identity, regarding your personal data;
- Learn whether the Company processes personal data about you and, if so, to request information regarding such processing,
- Learn the purpose of processing your personal data and whether it is used in accordance with such purpose,
- Learn whether your personal data is transferred domestically or abroad and to whom it is transferred.
You also have the right to request the correction of your inaccurate or incomplete personal data from the Company, as well as the notification of the recipients to whom your data has been or may have been transferred. ou may request from the Company the deletion, destruction, or anonymization of your personal data within the framework of the conditions set out in Article 7 of the KVKK. You may also request that third parties to whom your data has been or may be transferred be informed of your request for such destruction.
However, upon evaluating your request for destruction, the appropriate method will be determined by us depending on the circumstances of the specific case. In this context, you may always request information from us regarding the reasons for the destruction method we have selected.
You may object to the results of the analysis of your personal data that is exclusively conducted through automated systems if such results are contrary to your interests.
If you suffer damage due to the unlawful processing of your personal data, you have the right to request compensation for such damage.
Your requests included in your application will be concluded free of charge within a maximum of thirty days, depending on the nature of the request. However, if the process requires an additional cost for the Company, the fee set out in the tariff determined by the Personal Data Protection Board within the Communiqué on the Procedures and Principles of Application to the Data Controller may be charged.
Pursuant to Article 13(1) of the KVKK, applications regarding these rights must be submitted to our Company as the data controller in writing or through other methods determined by the Personal Data Protection Authority (Board).
Accordingly, written applications to our Company must be submitted by printing out the form and;
• By the data subject’s in-person application,
• Through a notary public, or
• By sending it to the Company’s registered electronic mail address kalesigorta@hs01.kep.tr, signed with a secure electronic signature as defined under the Electronic Signature Law No. 5070, by the data subject.
• By sending an e-mail from the e-mail address previously notified to the Company by the data subject and registered in our system.

Regarding matters related to the processing of your personal data, you are required to submit your application to our Company by filling out the application form available on the Company’s website, in writing, or by using the registered electronic mail (KEP) address, secure electronic signature, mobile signature, or the e-mail address you have previously notified to us and which is registered in our records. Depending on the nature of your request and your application method, additional verifications may be requested by the Company (such as sending a message to your registered phone number or calling you) in order to determine whether the application belongs to you and to protect your rights. For example, if you submit an application via your e-mail address registered with the Company, we may contact you through another communication method registered in the Company’s records and request confirmation that the application belongs to you.
